PURPOSE:
The purpose of this policy is to outline the guidelines for the retention and destruction of client data in accordance with legal, regulatory, and company requirements.
SCOPE:
This policy applies to all client data collected, stored, and used by The Peer Network, LLC including electronic and paper records.
POLICY:
- Client data will be retained for a minimum of 1 year from the date of the last client encounter, as required by applicable law/regulation.
- After the minimum retention period, client data will be reviewed for ongoing legal, regulatory, or business needs. If no such need exists, the data will be securely destroyed.
- Client data may be retained for longer periods of time if required by law or in connection with a legal proceeding.
- Client data that is no longer needed for legal, regulatory, or business purposes will be securely destroyed using appropriate methods, such as shredding or secure wiping of electronic media.
- The Peer Network, LLC will maintain a record of all data destruction activities, including the date of destruction and the method used.
- The Peer Network, LLC will implement appropriate security measures to protect client data from unauthorized access, use, disclosure, or destruction.
- Employees who handle client data will be trained on the proper handling and destruction of such data.
- Any breach of client data will be reported to the appropriate authorities and to affected clients in accordance with applicable law/regulation.
